Description

Works under the general supervision of the City Solicitor, Deputy and First Assistant City Solicitors and Office Manager. Assists the Office Manager in the daily operation of the office. Position requires strong administrative, organizational, and interpersonal skills in executing an assortment of legal work.

  • Types legal pleadings, briefs, opinions, contracts, deeds, leases, ordinances, and legislation as requested from handwritten, rough, and straight drafts.
  • Performs on-line searches and research in legal dockets and databases.
  • Types general interoffice and outgoing correspondence.
  • Composes standardized correspondence and legal documents from generalized instructions.
  • Proofreads own typed material for grammatical and spelling errors as well as completeness. May also be required to type from audio recordings. 
  • Maintains legal docket, case files, and card catalog systems and office library.
  • Operates and maintains attorneys’ calendars, caseload tracking, dockets, legal practice management databases and related software.
  • Receives, records, and distributes daily mail, claims and legal pleadings as necessary. 
  • Performs copying as requested.  
  • Answers telephones, directs inquiries to appropriate departmental personnel, departments, or agencies.
  • Interfaces with members of the public visiting the office.
  • Performs other related duties as may be required.
  • Supervises clerical staff as directed.

Requirements

Accurate typing skills of thirty (30) mailable words per minute required, but fifty (50) preferred. Proficiency in Microsoft Office (Word, Excel, and Outlook for Windows) required and must be comfortable with and have the ability to learn new software applications, including but not limited to claims, public records, and litigation management software.  Strong administrative, organizational, and interpersonal skills. Strong telephone and oral communication skills.  Familiarity with Optical Character Recognition (“OCR”) software that converts scanned images to electronically readable text and preserves the history of digital records searches and experience identifying and removing annotations and metadata associated with digital records highly desirable.  A minimum of one (1) year legal experience, but two (2) years preferred.  High school diploma or equivalency. Knowledge of court rules and procedures is essential as well as familiarity with legal terminology. Some advanced legal training or experience preferred, including paralegal training and/or experience.

KNOWLEDGE, SKILLS AND ABILITIES:   Ability to work with a minimum of supervision after initial work orientation. Ability to exercise sound judgment and negotiate priorities with multiple supervisors, organize own workload and to follow through on assignments.  Capacity to work effectively with supervisors and co-workers. Ability to operate office equipment, including copiers, printers, and fax machines in addition to personal computers.
